Who we are
The Payments Club ("we", "us", "the Club") is a professional membership organisation for individuals and companies operating in the payments industry in South Africa. We are committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA).

What personal information we collect

• Full name and professional title
• Email address and mobile number
• Company name and industry
• LinkedIn profile link (optional, if provided by you)
• Profile photograph (optional, if uploaded by you)
• Event registration and attendance records
• Communication preferences and consent records

Your rights as a data subject

• Request access to the personal information we hold about you
• Request correction of inaccurate or incomplete information
• Request deletion of your information (subject to legal retention requirements)
• Object to the processing of your information for direct marketing
• Withdraw your consent at any time by updating your preferences in your Member Profile

PAYMENTS CLUB – TERMS OF SERVICE

1. Membership
1.1 Membership is open to individuals and companies operating in or affiliated with the payments industry.
1.2 Membership is subject to approval by the Payments Club administration.
1.3 Members must provide accurate and complete information during registration.

2. Member Conduct
2.1 Members shall conduct themselves professionally and respectfully towards other members, staff, and guests.
2.2 Members shall not share their login credentials with others.

3. Events and Registrations
3.1 Event registrations are subject to capacity limits and may be confirmed on a first-come, first-served basis.
3.2 Members must check in using their QR code at events.

PAYMENTS CLUB – DATA STORAGE POLICY

Where your data is stored
Your personal information is stored on secure servers hosted in South Africa, with encryption in transit and at rest.

Security measures

• Access control: Role-based access with multi-factor authentication for administrators
• Backups: Automated daily backups with encrypted storage
• Audit logging: All access to personal information is logged

Data retention: We retain your data for as long as you are a member, plus 5 years thereafter, as required by law.

PAYMENTS CLUB – COMPANY PROFILE DATA NOTICE

What company information we display
The Payments Club may display the following on your Company Profile, visible to registered members:

• Company name, industry / sector, and website
• Company description (which may be enriched using AI-sourced publicly available information, subject to administrator review and approval)
• Events the company has sponsored, including a designated company contact person
• Names and professional titles of linked Payments Club members associated with the company

Data Sources
AI enrichment may use publicly available data from sources including:

• Company websites and public LinkedIn profiles
• Wikidata and other public knowledge bases
• Publicly available business registries

PAYMENTS CLUB – DATA RETENTION POLICY

How long we keep your data

• Member profile and account records: Membership duration + 5 years
• Consent and preference records: Membership duration + 5 years
• Event RSVP, ticket and attendance records: Membership duration + 5 years
• Guest (Bring a Friend) records: 90 days after the event
• Marketing opt-out records: Indefinite (as suppression list)
• Audit and security logs: Minimum 3 years

Secure Disposal: When personal information is no longer required, it is securely disposed of using methods that prevent reconstruction or unauthorized access.

PAYMENTS CLUB – WITHDRAWAL UNDERSTANDING

Your Right to Withdraw Consent

Under the Protection of Personal Information Act 4 of 2013 (POPIA), you have the right to withdraw your consent at any time.

How to Withdraw:

• Log in to your Member Profile
• Navigate to the Privacy & Consent section
• Uncheck any optional consent you wish to withdraw
• For mandatory consents (M1, M2, M6), contact our Information Officer

Consequences of Withdrawal:

• Optional consents (M3, M5): Withdrawal does not affect your membership. You will simply stop receiving the related communications or features.
• Required consents (M1, M2, M6): Withdrawal of any required consent will result in membership deactivation as we cannot lawfully process your information without these consents.
